Cloud Context: Is it time for a school device refresh?
Australian students spend an average of 2.6 hours a day using digital devices at school for learning. With that much time spent on screens, reliable devices aren’t a nice-to-have; they’re non-negotiable.
But school devices have a way of sticking around. A “temporary” laptop from three years ago is still being handed out, the staffroom desktop is wheezing along, and mismatched chargers and operating systems create daily headaches. Eventually, nursing older hardware costs more than replacing it.
A refresh doesn’t mean replacing everything at once; with planning, schools can phase rollouts to minimise impact and maximise value.

So, when should you refresh?
Age is an obvious place to start, but it’s not the only factor.
If devices are slow, struggling with newer applications or generating more support tickets than they used to, it may be time to look at your fleet.
There’s also the less obvious cost of old hardware. If teachers are losing time waiting for devices to start, dealing with battery issues or working around unreliable equipment, those frustrations add up.
Security matters too. Older devices may no longer receive the updates or security features your school environment needs.
Start with the school, not the shopping list
It’s tempting to jump straight into comparing models and specs, but the right device depends on how it’s actually going to be used.
A primary student using a device for web-based learning has different requirements from a senior student running specialist software. Teachers may need better performance and connectivity, while administration teams might prioritise compatibility with existing systems.
Before you start ordering, ask:
- Which devices are approaching the end of their useful life?
- What are staff and students actually using them for?
- Are you supporting more device types than you need to?
- How easily can new devices be deployed, managed and secured?
- What does your replacement plan look like over the next few years?
A refresh is much easier to manage when it’s part of a planned device lifecycle, rather than something that happens when a fleet reaches breaking point.
The cheapest device isn’t always the cheapest option
For a school buying dozens or hundreds of devices, the purchase price is only part of the cost. Configuration, deployment, accessories, warranties and repairs quickly add up.
This is where having a dedicated technology partner pays off. An experienced partner helps you access volume education pricing, choose the right fit, and standardise your fleet.

Crucially, they handle the administrative grind: managing manufacturer relationships, logistics, and chasing warranty claims.
The goal isn’t having the newest devices in every room; it’s having dependable technology teachers can trust and an IT environment your team can actually manage.
